Global Datasets โ€‹

Global Datasets let you create large, reusable lists of options that can be referenced by any template โ€” without re-entering data every time.

What is a Dataset? โ€‹

A Dataset is a named list of options stored centrally in VariantIQ. Instead of typing your 200 brand colors into every dropdown field across dozens of templates, you create a "Brand Colors" dataset once and reference it wherever needed via a Conditional Rule.

Creating a Dataset โ€‹

  1. Open the VariantIQ Manager and click the Datasets tab.
  2. Enter a name for your dataset (e.g. Nike Primary Colors) and click Create Dataset.
  3. You'll be taken to the Dataset Editor.

Adding Options to a Dataset โ€‹

Inside the Dataset Editor, add options one at a time or import them in bulk:

Manual Entry โ€‹

Click + Add Option and fill in:

  • Label โ€” The value displayed to the customer.
  • Value โ€” The value stored in the order (defaults to the label).
  • Color (optional) โ€” A hex color code, if this dataset is used with a Color Swatch field.

Bulk Import โ€‹

Click Import from CSV and upload a CSV file with the following columns:

label,value,color
Red,red,#FF0000
Blue,blue,#0000FF

The color column is optional.

Referencing a Dataset in a Rule โ€‹

Datasets are used via the Set Options rule action:

  1. In the Template Editor, go to the Rules tab.
  2. Create a rule with the action Set Options.
  3. Choose From Dataset and select the dataset.

At runtime, when the rule's conditions are met, the target field's options are replaced with the dataset's current entries. If you update the dataset later, all templates using it pick up the changes automatically.

Perfect for large catalogs

Datasets shine when you have large, frequently changing option lists โ€” hundreds of colors, dozens of suppliers, a full product catalog reference. Manage the list once; all templates stay in sync.

Dataset Limits โ€‹

There is no hard cap on the number of options per dataset or the number of datasets. However, very large datasets (10,000+ options) may affect storefront render performance. Contact support if you're working at that scale.

Deleting a Dataset โ€‹

Click Delete on the Datasets list. Rules that reference a deleted dataset will lose their "Set Options" data source โ€” the target field will fall back to its static options (if any). Review your rules after deleting a dataset.
