Order Management โ€‹

When customers add embroidery designs to cart and complete checkout, those orders appear in StitchIQ's order management dashboard alongside the full design and customization details โ€” so you always know exactly what to embroider.

The Orders Dashboard โ€‹

In the StitchIQ admin, click Orders in the sidebar. You'll see a list of embroidery orders pulled from your Shopify store, showing:

  • Order number and date
  • Customer name
  • Design name and format
  • Thread color selections
  • Stitch count
  • Quantity
  • Order status

Order Details โ€‹

Click any order to open the full detail view, which includes:

  • Design โ€” The name and file format of the requested design
  • Thread Colors โ€” A visual list of each thread layer with the customer-selected color
  • Stitch Count โ€” The total number of stitches for production reference
  • Price โ€” The calculated embroidery price at time of purchase
  • Customer Note โ€” Any special instructions the customer added at checkout
  • Order Status โ€” Synced from Shopify (Unfulfilled, Fulfilled, etc.)

How Orders Are Created โ€‹

Embroidery orders are standard Shopify orders with special line item properties attached. When a customer checks out with an embroidery item, those properties (design, colors, stitch count, etc.) are saved to the order and StitchIQ reads them to populate the order dashboard.

No separate database

StitchIQ does not maintain a separate order database โ€” it reads directly from your Shopify orders using the Admin API. This means your Shopify admin is always the source of truth, and orders appear in StitchIQ automatically.

Downloading Design Files โ€‹

From the order detail view, you can download the embroidery file for the ordered design directly:

  1. Open the order.
  2. Click Download .pes (or the format your production machine uses).
  3. The file is downloaded with the thread color assignments embedded where the format supports it.

Fulfillment โ€‹

Fulfillment is handled through Shopify's standard fulfillment flow:

  1. Mark the order as Fulfilled in your Shopify admin once the embroidery is complete and shipped.
  2. The status updates in StitchIQ automatically.
  3. The customer receives Shopify's standard fulfillment notification email.

StitchIQ does not manage fulfillment independently โ€” all shipping and fulfillment tracking stays in Shopify.

Filtering & Searching Orders โ€‹

The orders list supports:

  • Search by order number or customer name
  • Filter by status โ€” Unfulfilled, Fulfilled, Cancelled
  • Sort by date โ€” newest or oldest first

Custom Instructions โ€‹

If a customer adds a special instruction at checkout (e.g. "Please use a darker shade of red"), that note appears in the order detail view under Customer Note. You can also see all Shopify order notes from this view.

Data Retention โ€‹

Per Shopify's Protected Customer Data requirements, StitchIQ syncs orders on demand rather than storing them permanently. Orders older than 60 days may require a manual refresh if re-opened.
