Ordering & Availability โ€‹

Control when customers can place orders โ€” from always-open sales to tightly timed group ordering events.

Availability Modes โ€‹

Each team store has one of three availability modes:

Rolling WindowsRecurring ordering cycles that repeat automatically on a set interval.

Always Open โ€‹

The store accepts orders at any time. Use this for stores that represent a permanent offering (e.g. a school's ongoing spirit wear store).

Fulfillment Days controls how long customers are told it takes to ship:

  • Set the number of business days (e.g. 5)
  • Optionally set a Fulfillment Label to override the auto-generated text (e.g. "Ready in 5 business days" or "Ships every Friday")

If the Fulfillment Label is left blank, TeamIQ generates a label from the number: "Ships in 5 business days."


One-Time Ordering Window โ€‹

Use this for a single group ordering event โ€” a school apparel sale, a fundraiser, a team uniform run.

Adding a Window โ€‹

  1. Set Availability Mode to One-Time Ordering Window.
  2. Click Add Window.
  3. Fill in:
    • Label โ€” Internal/customer-visible name (e.g. "Spring 2026 Order")
    • Open Date โ€” When the store starts accepting orders
    • Close Date โ€” When the store stops accepting orders
    • Delivery Note โ€” Optional free-text message about when orders will be fulfilled (e.g. "Ready approximately 1 week after the window closes"). Displayed on the storefront so customers know what to expect.

What happens when the window closes โ€‹

When the close date passes, the store enters a "closed" state. The behavior depends on your Closed Store Behavior setting:

Closed Message (for the third option): Write a message like "Ordering is currently closed. Check back soon!" that appears as a notice above the product grid.


Rolling Ordering Windows โ€‹

Use rolling windows for clients who do group orders on a repeating schedule โ€” for example, every two weeks, or every month. TeamIQ automatically calculates which window is currently open based on the interval and anchor date.

Adding a Rolling Window โ€‹

  1. Set Availability Mode to Rolling Ordering Windows.
  2. Click Add Window.
  3. Fill in:
    • Label โ€” e.g. "Bi-Weekly Order"
    • Interval (days) โ€” How many days each ordering cycle lasts. 14 = bi-weekly, 30 = monthly.
    • Anchor Date โ€” The first window's start date. All subsequent windows are calculated from this anchor.
    • Fulfillment Days After Close โ€” How many days after the window closes before orders are fulfilled (e.g. 7)
    • Delivery Note โ€” Optional free-text note shown on the storefront (e.g. "Ready the following Monday"). Helps customers understand when to expect their order.

How Rolling Windows Work โ€‹

TeamIQ uses the anchor date and interval to calculate the current window:

Current window start = anchor + (floor((today - anchor) / interval) ร— interval)
Current window end   = current window start + interval

The store is open when today falls within the current window. When the window closes, it automatically advances to the next one โ€” no action required.

Set the anchor to your first real order date

If you want windows every Monday, set the anchor to the next Monday. The interval keeps it aligned automatically.


Access Control โ€‹

Public (default) โ€‹

Anyone with the link can view the store. No authentication required.

Password Protected โ€‹

Lock the store behind a password. Customers who visit are shown a branded password gate:

  1. Set Access Type to Password Protected.
  2. Enter a Store Password.
  3. Save.

Customers enter the password once per browser session. The password is sent as a URL query parameter (?pwd=...) on form submit. To reset access, change the password โ€” existing sessions in other browsers are invalidated.

Password security

The password gate is a basic gating mechanism. It's appropriate for limiting access to employees, team members, or invited buyers. It is not a substitute for Shopify's customer login or B2B features for high-security use cases.
